Roles
Every role in Edunara, what it is responsible for and the menus it sees.
Each account has one role. The role decides which menus appear in the sidebar and what the person may do. One lecturer can still have several jobs — teaching, academic advising, exam proctoring and supervising — all from the same lecturer account.
At a glance
| Role | Who | Main responsibility |
|---|---|---|
| Admin | Academic and administration staff | Sets up and runs the campus: structure, curriculum, people, enrollment, finance, exams, reports. |
| Admissions Officer | Admissions staff | Registers applicants (including at booths and events) and follows up applications and payments. |
| Partner | Schools, companies or individuals who recruit students | Registers applicants they bring in and follows their progress and payouts. |
| Head of Faculty | Dean / head of a faculty | Reviews requirement change requests from the faculty’s study programs. |
| Head of Program | Head of a study program (Kaprodi) | Runs one study program: curriculum, classes, students, approvals, activities and theses. |
| Lecturer | Teaching staff | Teaches classes; also academic advisor, exam proctor and supervisor when assigned. |
| Student | Enrolled students | KRS, payments, classes, assessments, grades, activities and thesis. |
| Applicant | People applying to study | Fills in the registration form and tracks the application — no account until accepted. |
How the roles fit together
flowchart TD A[Admin · whole campus] --> F[Head of Faculty · one faculty] A --> O[Admissions Officer · admission] F --> H[Head of Program · one study program] H --> L[Lecturer · teaching, advising, supervising] L --> S[Student] P[Partner · own portal] -.->|brings applicants| O AP[Applicant · no account yet] -.->|accepted, gets a NIM| S
Each role has a level and a scope. The level orders the roles; the scope says how much of the campus the role covers.
| Role | Level | Scope | Looks after |
|---|---|---|---|
| Admin | 100 | Whole campus | Everything — structure, people, enrollment, finance, exams, reports |
| Head of Faculty | 60 | One faculty | Requirement changes of the faculty’s study programs |
| Head of Program | 50 | One study program | Its curriculum, classes, students, approvals, activities and theses |
| Admissions Officer | 40 | Whole campus (admission only) | Applicants, booths and their payments |
| Lecturer | 20 | Their own classes and students | Teaching, and the jobs below |
| Student | 10 | Themselves | Their own KRS, payments, classes and grades |
Partners and applicants sit outside this ladder: a partner works in their own portal and only sees the applicants they brought in; an applicant has no account until they’re accepted and become a student.
What the level controls:
- Giving roles — nobody can give a user a role above their own level, or change the role of someone above them.
- Login As — an admin can only sign in as someone at a lower level, never as another admin.
- Scope — a role limited to a faculty or study program only sees and changes that part of the campus.
One lecturer, several jobs
A lecturer account doesn’t change role for these — the job is attached to the student, class or thesis:
| Job | Who gives it | Where it shows |
|---|---|---|
| Academic advisor (dosen wali) | Admin, in People › Academic Advisors | My Advisees — reviews the advisees’ KRS |
| Thesis or activity supervisor | Head of Program | Thesis menus, Supervised Activities |
| Defense chair or examiner | Head of Program, when scheduling the defense | Defense Evaluation |
| Exam proctor | Admin, with Assign Proctors | My Proctoring |
Admin
The admin sidebar is grouped by topic:
| Group | Menus |
|---|---|
| Setup | Academic Settings, ID & Exam Cards, Admission Periods, Buildings, Rooms, Time Slots, Academic Calendar, Degree Level Defaults, Requirement Requests, Degree Titles, Faculty, Department, Specializations, Default Rubrics, Tuition & Fees, Billing Groups, Payment Methods |
| Catalog | Courses (with the Activity programs tab) |
| People | Head of Faculty, Head of Program, Admin Staff, Lecturers, Students, Academic Advisors, Users, Roles, Access Rights, Login As Log |
| Admission | Candidate List, Booth Registration, Booth Events, Agents, Partner Applications, Payment Records |
| Finance | Finance Dashboard, Finance Bills, Invoice Center, Scholarships & Corrections, Payment Reconciliation, Period Closing, Audit Log |
| Semester | Course Offerings, Course Packages, Enrollments, Classes, Schedules, Makeup Classes, Make-up Exams, Compact Semester, Exams |
| Student Services | Approvals, Diploma Supplement, Graduates |
| Reports | Attendance Recap, Attendance Risk, Grade Completion, PDDikti Report, Outstanding Balances, Finance Reports, Capacity Planning, Academic Years |
| Communication | Announcements, Events |
Custom roles
Admins can create extra roles in People › Roles and choose exactly what each may do in People › Access Rights — for example a finance-only staff role. The sidebar of a custom role only shows the menus it has access to.
An admin can also Login As another user to see the application through their eyes when helping them. Every Login As session is recorded in People › Login As Log.
Admissions Officer
Works in the Admission menus: the candidate list, booth registration and booth events, and payment records of applicants.
Partner
Partners sign in through the partner login and see their own portal:
| Group | Menus |
|---|---|
| Work | Overview, Applicants, Register Applicant, Booth Events, Payment Records |
| Account | My Staff, Agreement & Payouts, Profile |
A partner only sees the applicants they brought in. Organisations can add their own staff in My Staff.
Head of Faculty
Menus: Requirement Requests, Announcements and Profile. A study program’s academic requirements (for example credit limits or graduation rules) never change directly: the head of program or an admin files a change request, and the head of the faculty approves or rejects it. Only an approved request changes the rules. If the faculty has no head, the request goes to the admin instead.
Head of Program
| Group | Menus |
|---|---|
| — | Dashboard, Approvals, Announcements |
| Curriculum | Courses, Course Packages, Program Requirements |
| Teaching | Classes, Sessions, Makeup Classes, Lecturers, Gradebook |
| Students | Students, Academic Progress, Activities, Events, Diploma Supplement |
| Thesis | Proposals, Documents, Defense Schedule, Graduates |
Everything a head of program sees is limited to their own study program. Approvals collects the requests that need their decision — KRS changes, online sessions over a course’s limit and make-up exams (Requests and approvals).
Lecturer
Menus: Dashboard, Announcements, Classes, Live Classes, Schedule, My Proctoring, Assessment, My Advisees, Lecturer Request, Supervised Activities, My Department, Profile — plus a Thesis group (Thesis Students, Consultations, Defense Evaluation).
The same lecturer account covers several jobs:
- Teaching — Classes, Assessment, Live Classes, Schedule.
- Academic advisor (dosen wali) — My Advisees, where they review and approve their students’ KRS.
- Exam proctor — My Proctoring lists the exams they supervise.
- Supervisor — Supervised Activities (internships and other activities) and the Thesis group.
Student
After signing in a student picks a portal:
| Portal | Menus |
|---|---|
| Learning Management | Dashboard, Courses, Live Classes, Attendance, Schedule, Assessment |
| My University | Dashboard, Announcements, Courses, KRS, Finance, Student Request, Activities, Diploma Supplement, Gradebook, Events |
| Thesis Portal | Dashboard, Announcements, Guidelines, Proposal, Consultation, Defense, Calendar |
Applicant
Applicants don’t have an account. They use the public Admission page to register and Track Application to follow their status. Once accepted and given a student ID, they create their account on Setup Account — see Signing in.
