5. Fees and payments
What students pay each semester, what applicants pay to enroll, and how they can pay.
How a semester bill is calculated
When a student enrolls, Edunara creates their bill for the semester:
credits taken × cost per credit + base fee (BPP) + lab fee (only if they take a lab class)
…unless the student is in a billing group, in which case they pay that group’s flat amount instead. Scholarships and corrections are applied afterwards by Finance.
A campus that charges one flat tuition per semester (UKT) sets How tuition is charged to Flat per semester (UKT) under Defaults. Every student then pays the base fee each semester, whatever they take: the cost per credit and lab fee are ignored, so set the UKT amount as the base fee. Courses added to a KRS after it was paid (for example an MBKM conversion) then cost nothing extra.
Tuition & Fees
Setup › Tuition & Fees has four tabs:
| Tab | What you set |
|---|---|
| Defaults | How tuition is charged (per credit or flat UKT); the fallback cost per credit, base fee (BPP) and lab fee; the leave of absence fee and the most semesters of leave a student may take (see Requests and approvals); the default DPP (development fee) and equipment fee for new students; and the payment window — how many days an accepted applicant has to pay before the application is rejected automatically. |
| Recurring Fee Schedule | Cost per credit, base fee and lab fee by entry year and study program. A student keeps the rates of their entry year for their whole study. Leave the study program blank for a campus-wide rate that year. |
| Admission Fees | The one-time fees for new students (DPP and equipment), by study program and scholarship type. |
| Defense Fee | The fee for a thesis defense. |
Changing a rate never changes bills that were already issued — new rates apply to future bills.
Billing Groups (optional)
Setup › Billing Groups — flat tuition tiers (UKT style), for example “UKT Group 4”. A student assigned to a group pays the group’s flat amount every semester, whatever their credit load. Without groups, everyone pays by credit.
Payment Methods
Setup › Payment Methods — choose how students and applicants can pay:
| Method | How it works | To switch it on |
|---|---|---|
| Bank Transfer | The payer transfers and uploads proof; admin verifies it. | Add at least one destination bank account (bank, account number, account holder). |
| Virtual Account | Each payer gets their own VA number (see below). | Set the issuing bank and the VA prefix. |
| Payment Gateway | Online payment (card, e-wallet, bank) through Xendit; settles automatically. | Enter the Xendit secret key and callback token. Test with a development key first. |
Virtual account numbers
A VA number is the VA prefix followed by the payer’s number — only its digits, since banks accept digits only.
| Payer | Their number | VA number (prefix 8808) |
|---|---|---|
| Student | NIM 2026100111 | 88082026100111 |
| Applicant | Application ID REG26-000123 | 880826000123 |
Bank transfer is on from the start. A method only appears to students once it is switched on and fully configured.
