6. People

Admin staff, lecturers, heads of faculty and program, and academic advisors.

WherePeople

Students are not added here at the start — they come through admission. This step is about the staff.

Admin staff

People › Admin Staff › Add — one page: staff information (name, position, office, ID) and their login. Use People › Roles and Access Rights if someone should only see part of the admin menus (for example a finance-only role).

Lecturers

People › Lecturers — for each lecturer:

  • Personal data and home study program.
  • Employee ID, given automatically (see Staff IDs).
  • NIDN / NUPTK, needed for PDDikti.
  • Status.
  • Course qualifications — the courses they are able to teach.

Why qualifications matter

When classes are generated, Edunara assigns lecturers automatically — but only from lecturers qualified for the course, and never above their maximum teaching load. Keep qualifications up to date.

Later changes are recorded properly:

  • Transfer moves a lecturer to another study program from a chosen semester. It needs the decree (SK) number, removes qualifications that no longer fit, and lists the advisees who need a new advisor. Classes already running stay with them until the term ends.
  • Status change (Active, On Leave, Study Leave, Resigned) is recorded with a decree and the semester it applies from. Lecturers who aren’t active get no new classes and can’t log in.

The lecturer then creates their own login on Setup Account with their email and employee ID (Signing in).

Staff IDs

Edunara gives every staff member an ID when their record is created: a letter for the role, then a 5-digit number that counts up.

  • The number never restarts and isn’t tied to a year.
  • IDs given before this format (for example L264817) stay as they are.
  • The lecturer’s national IDs (NIDN / NIDK / NUPTK) are separate fields.

Heads of faculty and heads of program

  • People › Head of Faculty — one head per faculty. They approve requirement changes for the faculty’s study programs.
  • People › Head of Program — one head per study program. They manage its courses and syllabus, packages, classes, lecturers, students, approvals, activities and theses.

Both are created by picking the person and the faculty or study program, then reviewing before saving.

Academic advisors

People › Academic Advisors — give every student an advisor (dosen wali) who reviews and approves their KRS. Filter by study program and intake year, then:

  • Change advisor for one student, or
  • Bulk assign a whole cohort — the preview shows how students will be spread across the program’s lecturers; existing assignments are kept unless you choose to overwrite them.

An advisor must be a lecturer from the student’s own study program. Do this once each new intake has its student IDs.
