1.1. Booth and event registration

Registering applicants at promotion booths, school visits and education fairs.

Admissions staff often meet applicants in person — at expos, school visits or a partner’s booth. They register them on the spot; the application then follows the same admission flow as an online one.

Booth events

Each promotion booth is recorded as a booth event: name, city, venue, dates, the partner running it (none = a campus booth) and the staff working it.

  • Events created by the admin are approved straight away.
  • Partners propose their own events from their portal. The admin approves them (and assigns booth staff) or rejects them with a reason; the partner can edit and resubmit. Changing the dates, city or venue of an approved event sends it back for approval.
  • Only approved events can be used at the booth.

Registering at the booth

  1. Open Admission › Booth Registration and pick today’s event.
  2. Enter the short form — name, contact and study program. Keep it short: the applicant completes the full application later from the emailed link.
  3. If the wave charges a form fee, record it on the spot as paid (with the method) or waived (with a reason).

Every application is stamped with the event, the staff member who entered it and — if the booth belongs to a partner — that partner. “How did the Bali booth do?” is then a report, not a guess.

Importing a list

A partner school’s list or a stack of expo paper forms can be registered in one go in Admission › Import Applicants:

  1. Download the Excel or CSV template. Required columns end with *; the Excel template’s Codes sheet lists the program codes and allowed values. Phone numbers like 0812… are fine.
  2. Choose where the list comes from — a partner (credited to them) or a booth or expo — and optionally the event.
  3. Upload the file and press Check file. Every row is marked Ready, Duplicate (same email, national ID or NISN as an existing application or an earlier row) or Needs fixing, with the reason.
  4. Import the ready rows. They become ordinary applications in the Candidate List, each applicant gets the confirmation email, and the form fee follows the wave as usual.

Fix the other rows in the file and import it again — rows already imported come back as duplicates. A batch can be undone from the list below as long as none of its applicants has been reviewed or paid.

Good to know

  • Booth registration can stay open longer than online registration — each wave sets its own booth closing date.
  • Pause intake on the admission period stops booth registration too.
  • Booth staff can be assigned to a partner; everything they register is then credited to that partner automatically.
  • The same applicant can’t register twice in a period (same email or national ID), even through a different channel.
