When a lecturer can’t hold a class (sick, campus duty or another reason), the class is cancelled and made up later inside the campus’s make-up periods (Academic calendar).
The flow
- Lecturer reports the absence on the session — reason (sick, campus duty, other) and a note. Optionally they propose a day and part of the day (morning, afternoon or evening) and whether the make-up is on campus or online.
- The class is cancelled straight away. All sessions of that day for the class are cancelled and students see the reason.
- Head of Program approves the make-up on Makeup Classes. (It can’t be refused — the class is already cancelled.)
- Admin books the make-up on Semester › Makeup Classes:
- Auto-schedule — uses the lecturer’s proposal if it’s still free, otherwise the best free slot; it can also run for several rows at once;
- or pick a start time and room by hand from the free options.
- The make-up session appears in everyone’s schedule, marked as a make-up.
Rules
- A make-up stays in the same half of the semester as the cancelled class — between the exams on either side of it.
- Only days and times when the lecturer is free and enough consecutive slots and a suitable room are available can be booked — no Sundays, inactive days, exam days or calendar blackouts.
- An online make-up needs no room.
- The same session can’t be reported twice.
