14. The next semester

Moving students up a semester, marking inactive students, and the new credit limit.

Generate Semester Status

Once per term the admin runs Generate Semester Status for the enrollment window. For every active (or on-leave) student:

StudentResult
Has a paid enrollment this termPromoted one semester, recorded as active for the term
Has no paid enrollmentMarked inactive, recorded as non-active for the term
On holdSkipped
Already at the maximum number of semestersNot promoted
On approved leave for the term (no enrollment)Isn’t promoted; the term is recorded as on leave. The leave is over, so their status goes back to Active
Has approved leave for the next termStatus set to On leave for that term

Running it twice for the same term never promotes anyone twice. The term standing (active / non-active / on leave) is what the PDDikti AKM (term activity) report is built on. The Compact semester doesn’t count as a term here.

The new credit limit

A student’s credit limit for the next semester comes from their IP (semester GPA) of the last term, using the credit limits — for example IP 3.00 and above allows 24 credits. In the first year the limit is 20.

Then the cycle starts again

The next term repeats the journey from enrollment: packages or KRS, advisor review, payment, classes, exams and closing. Courses the student failed can be retaken — see Retakes.

When something goes wrong

ProblemWhyWhat to do
A student became inactiveNo paid enrollment that termWhen they enroll and pay next term they’re active again straight away
A student wasn’t promotedOn hold, or already at the maximum number of semestersClear the hold and run it again; a student over the maximum needs a decision by the program (review for drop-out)
A student on leave shows ActiveTheir leave term has closed — the leave is overExpected; they enroll as usual
Running it twice—Safe — nobody is promoted twice for the same term
