  1. Eligibility — on Thesis Portal › Proposal the student sees whether they can start: by default semester 7 or later, at least 80 credits passed and a GPA of 2.00. A study program or faculty can set its own values (study programs).
  2. Proposal — the student submits a title, abstract, topic tags and the proposal document.
  3. Supervisor — the Head of Program assigns a supervisor in Proposals, helped by matching the topic tags against lecturers’ areas of expertise.
  4. Endorsement — the supervisor endorses the proposal.
  5. Approval — the Head of Program gives the final approval, optionally with the SK number and date that assign the thesis and its supervisor (reported to PDDikti). The thesis is now in progress.
  6. Consultations — the supervisor logs each meeting (date, time, agenda, notes; on campus or online with a meeting link) in Consultations. At least 3 are required; the supervisor can raise the target.
  7. Ready to defend — when the target is met, the supervisor declares the student ready.
  8. Defense scheduled — the Head of Program sets the date, defense time slot and room (or online), the chair and two examiners (three different lecturers). The scoring committee is the supervisor and the two examiners. Online defenses get a meeting link automatically. The defense fee is billed to the student.
  9. Scoring — each committee member enters their score in Defense Evaluation.
  10. Result — once every member has scored, the Head of Program records it:
    • Passed;
    • Passed with revision — the student uploads the revised thesis and the supervisor verifies it;
    • Failed — a new defense attempt can be scheduled.

Good to know

  • The student follows every step, consultation and the defense details on the Thesis Portal (dashboard, guidelines, calendar).
  • The thesis course in the curriculum is a supervised course. When the semester is closed, a student with a passed defense (passed, or passed with revision) gets the defense score — the average of the committee’s scores — as their thesis course grade; nobody enters it again in the gradebook. A student without a passed defense keeps whatever their gradebook holds.
  • A passed thesis is one of the graduation requirements, and theses are reported to PDDikti as student activities with their supervisor and examiners.

When something goes wrong

ProblemWhyWhat to do
The student can’t submit a proposalNot eligible yet — semester, credits passed or GPA below the program’s minimumThe eligibility check on Thesis Portal › Proposal says which one; the values are set per study program
The supervisor can’t declare “ready to defend”Fewer consultations than the target (3 by default)Log the remaining consultations
The defense failed—The Head of Program schedules a new defense attempt
Passed with revision but no grade yetThe supervisor hasn’t verified the revisionThe student uploads the revised thesis; the supervisor verifies it
