  1. Register — the applicant fills in the short form on the public Admission page (name, contact, study program and up to two more choices). Registration is only possible while an admission period has an open wave — otherwise the page says registration is closed and when the next wave opens.

  2. Confirmation email — “Your application has been received”, with the application ID used to track it — for example REG26-000123: REG, the year (26), and a running number for that year (000123).

  3. Complete the application — the emailed link opens the full application in seven steps:

    • Personal — identity as on the KTP (national ID / NIK), photo, and any disability or support needs.
    • Address — home address as on the KTP, and the current address (domisili) or “same as home”, with who they live with.
    • Family — mother’s and father’s names and phone numbers, and an emergency contact.
    • Education — the school they finished.
    • Program — up to three different study programs, in order of preference, and the entry path.
    • Documents — KTP or family card, report, and optional certificates.
    • Review and submit.

Submitting locks it; admissions can unlock it if something must be corrected. Admissions staff can also fill it in for the applicant.

  4. Form fee — if the wave charges one, the applicant pays it online from Track Application, or admissions records it as paid (or waives it, with a reason). Review and acceptance are blocked until the form fee is settled.

  5. Review — admissions works through Admission › Candidate List:

    • Under Review — being checked; an optional selection result (passed / failed) records an offline test or interview.
    • Accepted (awaiting DPP) — the applicant gets the DPP (development fee) and equipment fee and a payment deadline.
    • Suspended — Needs Fix — sent back with what must be fixed.
    • Rejected — with a reason. Several applications can be updated at once with Bulk Update.
  6. Pay the DPP — on Track Application the accepted applicant pays online or by transfer/virtual account with an uploaded proof.

  7. Verification — admin checks the proof in Admission › Payment Records and approves or rejects it. An online payment settles by itself. The Candidate List and Payment Records show the same progress:

    • Awaiting DPP — accepted, not paid yet.
    • Payment under review — a proof is waiting for admissions.
    • Paid · Enrolled — verified; the student is created.
    • Proof rejected — the applicant uploads a new proof.
  8. Student record created — once the DPP is verified, Edunara creates the student with a new student ID (NIM) and the entry year of the admission period. The payment also appears in the finance ledger, and the Candidate List status becomes Enrolled (it has its own filter). Enrolled is set only this way: it can’t be chosen in Update Status, and an enrolled applicant’s status can’t be changed.

  9. Account — the new student sets up their login on Setup Account with their email and student ID (Signing in), then gets an academic advisor and enrolls for the first semester.

Applications someone else entered

When booth staff, a partner or an import registers an applicant, the applicant didn’t type their own data, so they’re asked to confirm it. Their email says Check and confirm your details; the link opens their application with My details are correct and Something’s wrong (with a note to admissions).

  • The Candidate List shows Awaiting confirmation, Correction requested (with the note) or Confirmed, and has a Confirmation filter. Review carries on meanwhile.
  • After a correction, fix the details (unlock the application if it was submitted) and use Email link on the application page so the applicant can confirm again.
  • An applicant who completes and submits the application through their own link has confirmed it.

Rules

  • One application per person per period — the same email or national ID can’t apply twice, whichever channel they use.
  • The DPP deadline is enforced — if an accepted applicant hasn’t paid when the payment window (set in Tuition & Fees) runs out, the application is rejected automatically.
  • Fees are frozen when they’re set: a later price change never reprices an application.
  • Force Provision lets an admin create the student without a verified payment for genuine exceptions (for example cash paid without a proof). A reason is required and it is recorded separately from normal verifications.

The new student's NIM

As soon as the DPP is verified (or the student is force-provisioned), Edunara emails the new student their student ID (NIM) with a link to Setup Account. Track Application shows the same NIM, with a Set up your account button, so a lost email isn’t a dead end. Once the account is set up, the photo from the application becomes the student’s formal photo (unless one was already uploaded), and the support needs carry over to the student record — the student can update them any time from their profile, and staff see when they last changed.

When something goes wrong

ProblemWhyWhat to do
The applicant can’t registerNo admission wave is open for their entry path, or the same email / national ID already applied this periodCheck Setup › Admission Periods; an applicant who already applied uses Track Application instead
The applicant lost the email with their link or NIM—Track Application (application ID + email) shows the status, the NIM and a Set up your account button; admissions can also resend the link from the application
The payment proof was rejectedThe proof didn’t match (amount, name, unreadable)The applicant uploads a new proof on Track Application; the reason is shown there
An accepted applicant was rejected automaticallyThe DPP wasn’t paid within the payment windowAdmissions decides case by case; for genuine exceptions an admin can Force Provision with a reason
The applicant reports wrong details they didn’t typeA booth, partner or import entered themFix the details (unlock the application if submitted) and use Email link so the applicant confirms again
