The student journey
2. Enrollment
Signing up for a semester — the package in early semesters, a self-built KRS later on.

Every semester each student enrolls once, inside the enrollment window. How depends on their semester:
| Student’s semester | How they enroll | Advisor approval |
|---|---|---|
| Before the program’s self-service KRS semester | Take the semester package | No (unless the program turns it on) |
| From that semester on | Build their own KRS | Yes |
The starting semester for self-service KRS is set per study program (or campus-wide) in Academic rules.
Why there are two ways, who gets which, and the in-between cases (retakes, transfer students, the Compact semester…): Package or self-service KRS.
Package students
- Open My University › Courses. The enrollment banner shows the open term and the published packages for the student’s program and semester, with each package’s courses and credits (and its schedule once classes exist).
- Press Enroll on the package.
- The bill is created right away — see Paying.
- Retakes next to the package — courses the student failed before and that run again this term appear below. The student can add them before paying; the bill updates on save.
Self-service KRS students
- Open My University › KRS while the program’s KRS schedule is open.
- Pick courses from:
- the courses offered for the student’s semester in their own program;
- courses they failed before (retakes);
- courses of other programs that are explicitly open to theirs.
- Watch the credit bar — the total must stay within the student’s credit limit, which depends on their last semester result (IPS) and their year (credit limits).
- Submit — the KRS locks and goes to the academic advisor (KRS review). There is no bill until the advisor approves.
- If the advisor returns it with a note, the student edits and submits again.
Rules for everyone
- Prerequisites — a course whose prerequisites aren’t met can’t be taken.
- Students on hold can’t enroll until the hold is lifted.
- One enrollment per term per student.
- In the Compact semester everyone builds a KRS, and only retake courses are offered.
- Approved activities (internship, exchange…) keep their courses on the KRS, but the student doesn’t attend those classes — the grade comes from the activity.
What the admin does
Semester › Enrollments has the admin tools for the window:
- Auto-Enroll — enroll every eligible package student into their package in one run, with a preview first.
- Bulk Enroll — enroll a chosen group into a package.
- Review the enrollment list and each student’s status, and fix individual cases.
When something goes wrong
| Problem | Why | What to do |
|---|---|---|
| A package student sees no package | The package for their semester isn’t published, no enrollment window is open for their entry year or degree level, or they’re on hold | Publish the package (Semester › Course Packages); check the window’s dates; clear the hold |
| “This course package is for semester N, not your current semester” | A student can only take the package of their own current semester | Check the student’s current semester on their record; correct it if it’s wrong (transfer students) |
| “Enrollment blocked” | The student is on hold (finance or administrative) | Clear the hold on the student’s record, then they can enroll |
| “Already enrolled in this semester” | One enrollment per term | Open the existing enrollment; an admin can adjust it |
| A KRS can’t be submitted | Over the credit limit, a prerequisite missing, outside the program’s KRS dates, or no academic advisor assigned | Remove courses or fix the prerequisite; check the program’s KRS dates; assign an advisor (People › Academic Advisors) |
| A student can’t find a course in their KRS | Not offered this term, not open to their program, or retake-only | Open it to the program or turn off retake-only on Semester › Course Offerings |
