The student journey
12. Grades and the grade lock
Finishing the gradebook, submitting grades, and locking them so they can't change.

Each class’s grades go through three states:
Open → Submitted → Locked
| State | What it means |
|---|---|
| Open | The lecturer is still grading. Scores can be entered and changed. |
| Submitted | The lecturer has submitted the final grades. Scores can no longer be changed. |
| Locked | Final. Locked by the admin, or automatically when the semester is closed. |
Submitting grades
When every student in the gradebook has a final grade, the lecturer submits grades for the class. From then on the gradebook, submissions, rubric scores and forum grades of that class are read-only for the lecturer.
Following up
Reports › Grade Completion shows, per class, how far grading has got — so the admin and heads of program can chase classes that are late.
Locking and unlocking
- The admin can lock classes in bulk on Semester › Classes (or per class from its menu).
- To correct a mistake, the admin unlocks a class — a reason is required. Unlocking also reopens the course offering so that closing the semester again regenerates its transcript entries.
- Every submit, lock and unlock is recorded with who did it, when and why.
When something goes wrong
| Problem | Why | What to do |
|---|---|---|
| The lecturer can’t submit grades | Not every student has a final grade yet | Fill in the missing scores; Reports › Grade Completion shows who’s missing |
| A grade is wrong after submitting or locking | Submitted and locked grades are read-only | The admin unlocks the class with a reason; the lecturer corrects it; then close the semester again for that course |
| Some classes are late | — | Follow up from Reports › Grade Completion before closing the semester |
