The student journey
3. KRS review
The academic advisor checks and approves each student's course list.

Every student has an academic advisor (dosen wali), a lecturer from their own study program assigned by the admin (People). The advisor validates the KRS of students who build their own course list.

Reviewing
- Open My Advisees. The menu shows how many KRS are waiting.
- Open a student’s submitted KRS: the courses, the total credits and the student’s credit limit.
- If needed, add or remove courses — the same rules apply as for the student (credit limit, prerequisites, program).
- Decide:
- Approve — the KRS is final and the bill is created. The student can now pay.
- Return with a note — the KRS goes back to the student, who edits and submits again.
Rules
- Advisors only see the KRS of their own advisees. Admins can review any student’s KRS.
- Review is only possible during the validation period of the program’s KRS schedule.
- The credit limit is checked again on approval — an advisor can’t approve a KRS over the limit.
- Approving twice can’t create two bills.
Package students
Students who take a package don’t need advisor approval — their bill is created when they enroll. A study program can turn on advisor validates packages (study programs) if every enrollment must be checked.
When something goes wrong
| Problem | Why | What to do |
|---|---|---|
| The advisor doesn’t see a student’s KRS | They aren’t that student’s current advisor, or the KRS is still a draft | Check the assignment in People › Academic Advisors; the student must submit it |
| The advisor can’t approve | Outside the program’s validation dates, or the KRS is over the credit limit | Ask the admin to adjust the validation dates; remove courses until it fits |
| The KRS was already reviewed | Someone (the advisor or an admin) decided it first | Nothing to do — approving twice never creates two bills |
| The student needs changes after approval | An approved KRS is final | An admin adjusts the enrollment on Semester › Enrollments |
