10. Exams

Mid and final exams — creating them, scheduling rooms and proctors, exam cards and attendance sheets.

Before the exams

  • The exam periods (mid and final) are set on the Academic calendar. Exams are only ever scheduled inside them. A Compact semester has a single exam.
  • The exam time slots and exam durations (theory vs practice courses, the gap between shifts) are set in Time Slots and Academic rules.

1. The lecturer creates the exam

In the class’s Exams tab the lecturer creates the mid and final exam:

  • The exam must be one of the syllabus’s exam components for that class’s track (a lab class can’t hold the lecture’s mid exam), and each is held once per class. A syllabus without an exam component can’t have an exam.
  • Choose how it’s delivered: Paper (on campus, scored on a score sheet) or Submit in LMS (students hand in online).
  • Publish it, and later enter the scores.

2. The admin schedules it

Semester › Exams shows the term (Odd, Even or Compact) as a month calendar with one panel per exam type:

  1. Auto-Schedule — places every class that still needs an exam into a date, exam slot and room inside the exam period: a room big enough, no student or room clash, and the right duration for theory or practice courses. Large classes can be split across several rooms. Running it again only fills the gaps.
  2. Assign Proctors — gives every exam a proctor (lecturer) automatically, spreading the work and never assigning anyone who is already proctoring at that time or has declared themselves unavailable. A proctor can be changed by hand.
  3. Publish — the exam schedule becomes visible to students and proctors. Once published, the period’s dates and the schedule can no longer be edited or cleared from this page (Auto-Schedule still fills gaps).

The calendar flags any day where a room and time are double-booked. Online exams need no room.

Exam cards and attendance sheets

  • Students see their exams on Schedule and can print or save their exam card — name, student ID, semester and their exams, with a QR code or barcode (ID & Exam Cards).
  • Proctors see their duties on My Proctoring — date, time, exam, room and number of students — and print the exam sheet: the class list with signature columns and the exam report (berita acara: present, absent, start and end time, answer sheets, incidents, signatures). Admins can print the same sheet from the Exams page.
